Did You Know This About Letter Templates?

Finally, it’s summer. The students are out of school and the halls are silent. They are out enjoying their time off. Swimming in pools and playing in sprinklers. Ahh, to be a kid again. However, for School Nutrition Professionals, we know the work does not end on June first. There are summer feeding programs, applications coming in (although you can turn them off for the summer), DC files to process, and letters to send out.
For example, the FNS USDA website provided an update that the USDA Nondiscrimination statement has changed for the 2022 -2023 school year. The updated disclaimer should be reflected in district’s letter templates, which can be changed in PrimeroEdge. Letter templates are located under Student Eligibility > Administration > Letter Templates.
Many people will try to copy and paste the language to test the letter, but it can get even simpler than that!
PrimeroEdge’s letter templates are completely customizable, so you can change the wording, font style and size, and text colors to make it look exactly right for your district. Images, tables, and links can also be inserted.) Letter templates also have merge fields which pull in the information from the system automatically so users don’t have to manually type in the text. For example, if you choose the field {{Determining Official}}, the system will automatically put whoever’s name is listed as the Determining Official on the System > Sites and Users > Sponsors/SFAs > Officials tab.

If you pasted the new disclaimer in and did not remove the older one, there is an easy way to get rid of the duplicates. There is a field called {{Disclaimer}} which automatically pulls the statement into the letter. As long as you have that field, you can delete the manually inserted text altogether and leave it to the automation!
Note that districts may need to call PrimeroEdge to have the Disclaimer field updated with the new text. It depends on what website you use, so be sure to call and verify before making any changes and printing out your letters. However, if your district uses PrimeroEdge’s server instead of its own, there is no need to update anything. PrimeroEdge makes sure to stay ahead and have the updated disclaimer fields ready to go with the new text.
